Getting started
The order most teams set things up in.
Create your workspace
Sign up at therocketcollab.com/signup with your company name, a workspace address (this becomes yourcompany.therocketcollab.com), and an admin login. Every new signup gets a 14-day trial.
- Fill in your company name and choose a workspace address.
- Add a card and pick a plan - you will not be charged until the trial ends.
- You are redirected to your new workspace's login page to sign in for the first time.
Note: a card is required to start the trial, but nothing is charged until day 14 unless you cancel first.
Invite your team
From Workspaces, open a workspace and use its member settings to add people by email. Anyone you invite can log in on your workspace's own address once they accept.
- Workspace visibility controls who can see the boards inside it: private, workspace-wide, or organization-wide.
- You can also invite someone directly to a single board without giving them access to the whole workspace - useful for an external collaborator or client.
Find your way around
The left sidebar is organized by module: Workspaces (your boards), Billing (quotes, invoices, clients, products), Engagements (contracts, revisions), and HR (People, Leave Requests) if your plan includes it. Which modules you see depends on your plan.
Boards & cards
Where day-to-day project work happens.
Create a board and lists
- Inside a workspace, use Quick Create or the board list's create action to start a new board.
- Give it a name and, optionally, a background.
- Add lists with Add Another List - these are your stages (e.g. To Do, In Progress, Done).
Create and move cards
- Click Add a Card at the bottom of any list and type a title.
- To move a card, click and drag it into another list, or drop it at a new position within the same list. The card's position saves automatically.
- Click a card to open its full detail view - description, members, labels, due date, checklists, comments, and attachments all live there.
Tip: on tablets, drag with a slightly slower, deliberate motion near the edge of the screen to trigger auto-scroll into an off-screen list.
Due dates, labels & custom fields
- Due Date: open a card and click the Due Date row to set a date and time. Overdue cards are flagged automatically, and members get reminder emails as a due date approaches.
- Labels: click the Labels row on a card to attach existing labels or create a new one for the board.
- Custom Field: use the Custom Field quick-action on any card to add a board-wide field (text, number, currency, date, dropdown, checkbox, or link) - useful for tracking things like deal value on a sales-pipeline board.
Automate a card
Open a card and use the Automate quick-action to set up due-date or specific-date automation - for example, moving a card to another list automatically once its due date passes. List-level automation (a notification or auto-created card whenever something enters a list) is configured from a list's own settings menu.
Checklists, comments & files
From a card's quick-actions, use Checklist to add a task list with its own progress bar, Add Attachment to upload a file or paste a link, and Card Cover to set an image that shows on the card's tile. Comments and activity are shown in the panel beside the card detail.
Billing
Quoting and invoicing your clients.
Add a client
Go to Billing → Clients and create a client record with their contact and company details. Every quote and invoice is tied to a client record, so it only needs to be entered once.
Create a quote
- Go to Billing → Quotes and start a new quote.
- Pick a client, add line items (from your product catalog or typed manually), and set payment terms.
- Send the quote - the client can view and respond to it using a secure link, no login required.
Convert to an invoice
Once a quote is accepted, convert it directly into an invoice from the quote's own page rather than re-entering the same line items. The invoice keeps its own record separate from the quote it came from.
Set up recurring invoices
Go to Billing → Recurring Invoices to schedule an invoice that generates automatically on a repeating interval (e.g. monthly retainers). You can enable auto-send so the client receives each generated invoice without manual action.
Engagements
Contracts and client revisions, tied to the commercial side.
Create a contract from a quote
- Go to Engagements → Contracts and start a new contract.
- Choose a client and, optionally, an existing quote - project title, line items, pricing, and payment terms carry over automatically.
- Pick a template (e.g. Website Development Agreement, Retainer Agreement) and set the included revision allowance.
- Review each section, add signatories, and send it for the client's records.
Note: while a contract is still a draft, editing the linked quote's pricing updates the contract automatically. Once a contract is marked signed, it stops following further quote edits.
Track revision rounds
Go to Engagements → Revisions and start a round against a contract. RocketCollab checks the contract's included revision allowance automatically: a round within that allowance is marked included; once the allowance is used up, the next round is marked outside scope instead of being silently blocked.
- A round can hold multiple deliverables (images, videos, or links).
- On an image, clients can drop a numbered pin directly on the spot they are commenting on.
- On a video, comments can be tied to a specific timestamp.
Send a client review link
Each revision round has its own secure, shareable review link - the client does not need a RocketCollab account. They can view the deliverables, leave comments, use Submit Feedback to formally send a batch of comments, and Approve This Version when the work is accepted.
People & payroll
Your team's records, time, and pay.
Add a team member
- Go to HR → People and select Add New Employee.
- Fill in their name, role, position, department, and start date.
- Set their pay type (hourly or fixed monthly) and, if applicable, their hourly rate or monthly salary - Daily Rate is computed automatically.
- Save to create their record; a temporary login is generated if they need account access.
Request and approve leave
As an employee: go to My Leave Requests and select Request Leave. Fill in the dates and reason, then Submit Request.
As an admin: go to HR → Leave Requests to review pending requests and approve or decline each one.
Clock in/out and pay type
An employee's time tracking method (manual task log or clock in/out) is set independently of their pay type on their employee record. An employee using clock in/out sees a Clock In/Clock Out control on their own dashboard; their worked hours feed directly into their next payroll run.
Run payroll
- Go to HR → Payroll and select the current pay cutoff (weekly or semi-monthly, depending on your account's payroll frequency).
- Review each employee's computed basic pay and any manual additions/deductions for the cutoff.
- Generate payslips - each one is a downloadable PDF, and can be emailed directly to the employee.
Note: RocketCollab doesn't calculate statutory tax withholding or file payroll taxes for you. Add any tax, contribution, or deduction your team needs as a per-employee adjustment each cutoff.
Account
Subscription, branding, and workspace-wide settings.
Change your plan
Go to your account's Subscription settings to see your current plan and switch to another, or toggle between monthly and annual billing. Changes take effect on your next billing cycle.
Branding & settings
Admins can set a workspace logo, favicon, and accent colors from Settings, and manage company-wide lists like Departments and Employment Types used across employee records.
More guides are being added as the product grows - workspace visibility rules, products & the billing catalog, affiliate tracking, and Platform Admin topics are next. If you need something not covered yet, ask us directly.
